Team Managers

Step 1

Register with USA Hockey as a volunteer (Ice Manager, Locker Room Monitor, or similar roles).

Cost: Registration is FREE.

Step 2

Association: Cloquet

ID #: 

Cost: $30

Validity: Screenings are valid for 2 years, so if you've done it recently, you may not need to do it again.

Step 3

Core SafeSport Training: For new volunteers or first-time certification.

SafeSport Refresher: For recertification if you've completed the core training in a previous season.

Validity: Each course is valid for one season.

Step 4

You must complete steps 1-3 before registering as a team volunteer.

Please get your documents to the Cloquet Hockey office ASAP.

Team Manager Responsibilities

Prime contact for team communication, assists coach, schedules game day duties, responsible for organizing team events and tournament logistics. **Responsibilities vary by level, younger teams may not have all the duties listed below. Please reach out to level coordinators and coaches with questions specific to your team.**



Team Logistics

  • Coordinate team (parent and player) kick off meeting in conjunction with the coach.
  • Keep schedules and events updated in conjunction with coaches on your teams Crossbar account.
  • Coordinate team specific apparel orders at the beginning of the season.
  • Coordinate team gatherings, team building activities, and community service projects as desired by the team.
  • Order USA Hockey Awards that have been earned monthly.
  • It is very common for the awards to be on backorder at the end of the season, so it is advisable to order several times throughout the season to beat the end-of-season rush.
  • Be proactive with ice coordinator, D11, and other team managers on bad weather cancellations.

Team Website

  • Keep team website current with schedule, roster, pictures, parent game day responsibilities, tournament information, etc.
  • Remember that team websites are public, please do not include parent/player personal information.
  • Once managers are assigned you will need access to your teams website.
  • Facebook updates: please email cecjacksmedia@gmail.com for social media posts for your team

Gamesheet

  • Activate team roster. Often you will have to manually enter rosters at the beginning of the season until they’ve been loaded in.

Communication with Parents

  • Set up team GroupMe chat to allow easy communication amongst team families & staff. The use of GroupMe is not required but generally seems to be the best platform that most families already use.
  • Send out weekly or biweekly communication via email with most important information as it can sometimes become lost in a group chat and is helpful to have as a reference.
  • Provide information for team pictures and ordering link once proofs are posted.
  • Communicate CAHA policies and procedures to families as necessary. If/when you have a disciplinary matter, communicate this to your coaching staff as well as your level coordinator. You are not responsible for disciplinary matters.

Communication with CAHA Rink Manager / Team Treasurer (this might not be a specific person on your team-if that is the case connect with Justin)

  • Work with scrimmage manager & ice coordinator on updating the team calendar with scrimmages and practice changes.
  • Determine if there are any unpaid gate fees on scheduled tournaments. The Cloquet Hockey Office will issue checks as needed.
  • Be sure you know scrimmage rules for your level - Squirts & 10U have a 35-game limit.
  • Work with Scrimmage Manager on setting up same level scrimmages per D11 rules.
  • Work with the Coach on dryland requirements, add this cost to team funds as necessary.
  • Facilitate fundraising options for the team to help cover/decrease costs if the team chooses not to be invoiced at the end of the season.

Communication with opposing Team Managers

  • This is not always necessary but can be helpful to ensure all details are set & communicated correctly for all games & scrimmages.
  • Be sure to communicate bad weather cancellations with the opposing team as quickly as possible.
  • You can often find team manager information on the opposing teams website.

Game Day Responsibilities

  • Coordinate time clock, penalty box, locker room monitor, and scoresheet training for your team parents at the beginning of the season so that nobody can use the excuse that they don’t know how to complete these duties when their time comes in the rotation.
  • When creating the family rotation, all families are expected to complete an even share of game day duties throughout the season. Coaches are exempt from this as they are expected to be on the bench during all games. If you have enough coaches on your team that are also able to fulfill the coaching needs of the team and can also complete some of the game day duties, it is acceptable to include them in the rotation as well, please connect with your coach to discuss needs.
  • After every game and scrimmage be sure a parent is assigned to do the iPad, and make sure the game results are fully uploaded into Gamesheet and CAHA iPad is returned to the locker for charging and safekeeping. Please be in contact with your coach whether it is a game or a scrimmage, as scrimmages should not be put into Gamesheet unless directed by the coach.

Tournaments

  • Please contact each tournament director for all tournaments your team is participating in to be sure that they have your contact information and confirm that all dues have been paid to participate in that tournament. You can typically find a contact form to complete or the tournament director information on each tournament website.
  • The Cloquet Rink Manager can let you know if you owe for upcoming tournament fees.
  • Proactively manage tournament(s) details and logistics as information becomes available.
  • Pre-order tournament t-shirts, if necessary.
  • Provide USA Hockey certified tournament roster when necessary. You can get these rosters from the CAHA registrar.
  • Coordinate & book hotel room blocks for tournaments as needed.
  • Communicate with your level coordinator to ensure that they did not take care of this task for you in the off-season when your tournament spot was likely secured.
  • You are not expected to pay for anyone’s reservation except for your families. Your job is to organize & confirm room blocks & reservations as necessary, not be the team’s travel agent. Each family is responsible for their own accommodation.
  • Some tournaments are “stay to play”. In these cases, please communicate the rules of the tournaments with families in advance.
  • Organize player goodies or swag bags as desired by the team.

Scrimmages: A scrimmage/controlled scrimmage does not count in this total if the game is used as a coaching tool for teaching position play and address various game situations and the following are met:

a. At least one coach from each team must be on the ice for the purpose of instruction.

b. No official scorekeeper, timekeeper or “game clock” can be used.

c. Teams can switch ends at some point, if desired.

d. The event is conducted as a practice, with the coaches stopping play from time to time to make observations and provide instruction on player positioning, etc.

➔ Coaches and/or team managers can seek out other teams to play to meet their level game limit.

➔ Any extra games need to be scheduled through Melissa Buck if HAHA will be coordinating the game. If the game is scheduled outside of the Hermantown/Duluth area, the “home” team would coordinate the ice time with their ice coordinator.

➔ Any extra games (tournaments, scrimmage, non-league game) need to be communicated to the Ice Scheduler so they can add it to the master schedule for parents to be able to access.


Zero/Hat Trick/Playmaker Patches: USA Hockey/MN Hockey recognizes individual achievement with a patch for the following:

➔ Zero Award: For goalkeeper playing a complete game without allowing a goal.

➔ Hat Trick Award: For player scoring three goals in a game.

➔ Playmaker Award: For a player registering three assists in a game.

**This applies to only District games

**Some teams order these for their players and there is no charge. Please keep a copy of the score sheet showing any of these accomplishments, as it will need to be turned in to order the award at the end of the season

Playoffs & Season End

  • Plan & Coordinate end-of-season player/coach gifts, party location.
  • Gather District, Regional, & State playoff tournament information.
